GMS — Frequently Asked Questions

Answers to the most common questions Grove RFC parents and players have about the RFU Game Management System (GMS).

Accounts

Do I need a new GMS account every season?
No. Your GMS account carries over year to year. At the start of each season you just need to renew your player registration at Grove RFC and purchase the current season's membership.

I already have a GMS account from a previous club. What do I do?
Log into your existing account and register to Grove RFC from your dashboard. You do not need to create a new account.

I have forgotten my GMS password. How do I reset it?
Use the Forgot Password link on the login page at gms.rfu.com/GMS/.

The system says I already have an account but I cannot access it.
Contact the RFU at help.rfu.com to recover your account. Do not create a duplicate.


Adding Children and Switching Accounts

I cannot find the Add Person option on my phone.
On mobile there are no name tabs. Tap the arrows icon on the right side of your name row at the top of the screen to open the account switcher, then select Add Person.

I added my child but cannot see their profile.
On desktop, click your child's name tab at the top of the page. On mobile, tap the arrows icon next to your name and select their name from the switcher.

Can I add more than one child to my account?
Yes. Repeat the Add Person process for each child. Each one will appear as a separate account you can switch between.


Registering Your Child

I cannot find the registration prompt on the dashboard.
On desktop, look for the narrow dark green bar near the top of the page — it can be easy to miss. On mobile, scroll down and look for the full-width dark green card. If neither appears, contact Grove RFC at groverfc.co.uk/contact.

My child played last season. Do they need to re-register?
Yes. Player registration must be renewed each season. Your child's details will already be saved in GMS so it is quicker from the second season onwards.

How long does registration approval take?
Grove RFC aims to approve registrations within 48 hours during the pre-season period. If it has been longer, contact us at groverfc.co.uk/contact.

My child's registration has been amber for several days. What should I do?
Contact Grove RFC at groverfc.co.uk/contact. The most common reasons for a delay are incomplete medical information or a missing emergency contact on the form.

Can my child train while their registration is pending?
Yes. Your child can attend training sessions while their registration is amber. They cannot take part in any competitive fixture until the status is green.

Can I register my child at more than one club?
Yes, but dual registration is governed by specific RFU rules. Contact Grove RFC before registering your child elsewhere.


Membership and Payments

What is the difference between registration and membership?
Registration records your child with the RFU as a player at Grove RFC. Membership is the seasonal subscription paid to the club. Both must be in place before your child can compete in fixtures.

I cannot find the Buy Membership option.
On both platforms, Buy Membership is in the Quick Links section — scroll down your dashboard to find it. On mobile it sits below the Activity, Upcoming Events, and Player Welfare sections. Keep scrolling — it is further down than most people expect.

Can I pay my membership in instalments?
Where Grove RFC has enabled direct debit payments, the instalment option will appear at checkout. Contact Grove RFC to confirm which payment options are available this season.

I have paid but cannot see a confirmation.
Check your email for a GMS confirmation. If nothing has arrived after a few hours, raise a support ticket at help.rfu.com or contact Grove RFC.


Technical Issues

I cannot find Grove RFC in the club list when registering.
Search for "Grove" in the club search box. If the club does not appear, contact Grove RFC at groverfc.co.uk/contact and we will assist directly.

GMS is not working or is giving me an error.
